Why should you backup your data on the Internet?

There are several reasons.

* The backup is located at a secure place for away from your computer.

* It’s is easy to do.

* Free available disk space on your web site can be used for storage.

* Disk space on remote server can be used for storage.

* It’s a practical backup solution for small businesses and home users.

* It’s gives extra security for documents and files.

There are basically three different types of data backup you can make!

* Full Backup of the hard disk.

* Full disk image backup for fast recovery.

* Backup of specific files and folders.

Online backup of a complete hard disk is not practical to do. Although, it can be done. The size requirement and the transfer speed over the Internet makes it yet not powerful enough to do. However in the future complete backup of hard disks online will be more common. Backup over the Internet is best suited for storing limited numbers of specific files and folders.

To do this you need an FTP software which makes it possible to move files over the internet. FTP stand for “file transfer protocol” and is the most commonly used method of transferring files between computers over the Internet.

Use FTP transfer and backup to your web site or to a remote server as a safeguard of your vital data files!

Learn how at http://www.data-backup-and-storage.com/ftp-backup.html

Normally you don’t need to backup all the content of your hard disk, to recreate your data.

To be able to make a full recovery of your data, make sure that you keep CD’s of all your installation programs and operating system in a safe place. In addition, if you have installed software from the Internet you need to keep copies of the installation programs as backup together with the installation codes.

After you have done that, you need to identify the files and folders that are important to backup.

These are the files you use on a daily basis either in private or in your business. If you are using Windows this can be files in My Document folder and/or your Outlook email files.

These are the files you need to backup so that you can recreate your computer back to what it was if you have lost your data.

If you transfer files from your hard disk directly to the remote site you risk exposing your data to hackers. Your data are not secure from outside preying eyes.

To get full protection you

should use a backup software to first create a backup file which is stored temporarily on you hard drive. This file is then transferred with an FTP program to the online server.

There are also a number of online backup services you can subscribe to for this purpose. They often use their own transfer protocol.

Online backups should be made at regular intervals. It is also a practical way to make backup if you use a laptop and are on the move, given you have access to an Internet connection, of course.

If you get a hard disk crash or if your computer gets lost, then you need to be able to recover your data back to what it was

The first step you have to take is to install the operation system and the software from the installation CD’s which you have stored in a safe place. Next step is to download the backup or backups you are keeping on the Internet.

If you store your backup on a web site or on a server you should make sure that the backup is encrypted so that nobody else is able to read it.

You must keep the server’s username and password you are using as well as the password you use for encryption of the backup written down on paper in a safe place so that you can recreate your data.

Full backup can be made using other types of media such as tapes, DVD’s, on different disks or on networks.

To do this you need to have access to such devices.

This will cost you money.

The memory requirement for today’s computers has increased. The cost of regular backup on tapes or on DVD’s is high.

If you are an entrepreneur or a home computer user, this may not be an option available for you.

What happens if your computer gets stolen?

What happen if the building you keep your computer are struck by fire and destroyed?

Laptop and mobile computer are especially prone to theft. Not only because it is easy to carry away, but also because it is easy to get money by selling.

Therefore, you need to make backup of your important data on a location that is different from where you have your computer. Internet backup of data files is an attractive and cheap solution.

Per Strandberg has interest in backup technology and he is running an information site on backup and data security at http://www.data-backup-and-storage.com

Your computer may have adequate storage space for your data and records, but it is always better to be on a safe side and make a back up of your data on back up media like the DVD R. The ‘R’ stands for recordable so data can be recorded. The data can be written on the disc just once. DVD R software is easily available, and the installation and set up is relatively simple. Once the process is complete, you are ready to begin burning your DVDs.

When buying software, keep a few things in mind. First and foremost, the software should have excellent compressing ratio and excellent copy quality. Moreover, the company should be willing to provide customer support. The disc should also have a dual layer support offering double the storage space. The data is stored in two layers. One layer is semi-transparent, so the laser is able

to read the second layer of data.

Software should have key features such as audio capacities. This means that using the software, you should be able to create Audio CDs from MP3, WMA and APE formats and create CDs and DVDs, as well as use the software to download movies from the Internet and store them on the DVDs.

Also, you must check for quality of the copy. This is because the quality of the digital copy varies from product to product.

The software should also offer compression. This is very important because sometimes the data you wish to store may be very large. The best thing about DVD R is the ability of the discs to store very large movies. Additionally the backup copy should be flawless.

DVD duplicationis a process of transferring data from one DVD to many DVDs. Until 8-9 years ago nobody could have though that DVD CD duplication would emerge as a big business but due to more dependency on computers and digital presentations of data many companies took up the challenge in this area. These companies make replicas of your DVDs or CDs without compromising the quality. Moreover, these companies give a 100% quality guarantee on all DVD/CD duplication and this makes this industry unique. They have the talented and qualified professionals to get this job done.

If you think that DVD CD replicationinvolves mere burning of CD or DVD then you are wrong, professionals in this business follow a process of producing discs which involves methods that do not involve just burning, it involves molding the disc from plastic pellets and embedding the data and images on to the disc. These replication companies take replication orders of at least 1000 DVDs or CDs up to discs in the millions, therefore you cannot place an order of 1-2 DVD then these discs would be burned and not replicated.

Replication by these companies is performed by highly trained professionals who work day and night to deliver discs within the pre decided time. There are special technical schools and universities that

give special training and degrees in DVD CD replication manufacturing.

These companies not only replicate and duplicate DVD and CD’s but also offer a huge range packaging such as jewel cases, DVD cases, board packaging, digi packs, short run packaging, clam shells all depending upon a company’s different needs.

Creative and content services are also services whichCD duplicationcompanies provide. Creative and content services include:

Art design for custom packaging and inserts

Direct to disc transfers

Encoding

Menu design

Logo design

Art design for DVD/CD discs

DVD and CD authoring

For security the DVD or CD master which you give these companies for duplication is locked in a vault area which is accessible to a restricted number of individuals. Moreover, 24 hour security, video camera on premises assures fool proof safety of your master DVD or CD.

Software gets fouled up.People make errors. These things happen, and for thosereasons alone, you need to back up all your critical data, redundantly, in a couple of different locations.

You can do this using the tools your system provides, or autility you buy for that purpose, but however you do it, doit! Some more things that can go wrong include disks thatturn bad and erase sections of your files, power failures orsurges, the aforementioned human error (one of the mostfrequent causes of data loss!) overheating, water or yourbeverage of choice,

magnetic issues and last but certainlymost popular, computer viruses.

How is all this accomplished, you ask? There are many waysto backup your data these days, from DVD’s to CDR’s to ZIPdrives, to portable hard drives, as well as offsite internetbackups. All have their pros and cons, but the cold hardfacts are that it’s becoming increasingly easier to back upyour critical data.

Don’t let that lull you into a false sense of securityregarding your sensitive data. Either do it now, andfrequently, or start preparing an epitaph for your lostfiles!

The registry is where the computer stores information about the configuration of the system and the programs installed so that the operating system can use them.

Regularly maintaining the registry is a basic requirement. Fixing problems after they occur is harder than preventing them in the first place. Windows registry problems can cause crashes, slow performance and error messages.

If you:

- Install or uninstall software on a regular basis

- have not removed software correctly

- have embedded Spyware or any third party programs that start up again with each boot [whether you installed them or not]

- have installed or uninstalled hardware

- you have drivers on your system that are no longer needed.

Then you absolutely need to be cleaning your windows registry regularly! All the above leave trace elements of themselves behind that build up over time and choke the registry. Think of it as like dusting. Don’t dust and you end

up with dust bunnies, allergies and sneezing; you don’t feel well and you slow down… Get the picture?

Back up your registry. Basic rule of thumb in the computing world – Back Up, Back Up, Back Up. System meltdowns and viruses can require the complete reinstalling of windows on your computer, which means you run the risk of losing all your files. Keep them safe. Back them up.

1. Don’t try and edit anything in the registry yourself unless you are completely familiar with it and with the system

2. Programs are available that can be installed and set to fix and reguarly maintain your registry. Search online or drop in to your local computer store.

3. Call in a professional. Ask your friends for a reliable technician or look one up in the Yellow Pages

What to backup, and what to lose

The oldest “computer expression” is that there are two kinds of computer users, those that backup their data and those that will. Often, it takes a “data disaster” to compel otherwise responsible people to make a regular habit of backing up their data. Still, the majority of computer users do not back up their data.

According to Computer World, the annual cost to recover lost data per laptop is over $800.00 per year. This amounts to billions of dollars per year spent nationally to recover (or not recover) data that has been lost due to users not backing up their data. Critical data files are often stored on personal computers and laptops and often not subject to regular backup.

If backup is so important, then why don’t most people do it?

The truth is, backing up data from your computer to CDs, memory sticks, other computers, and network hard drives is inconvenient. It takes time out of a busy day. Most backup utilities require the users attention to start, monitor, and close the process. Backup takes time from the user that can be better spent doing something else. Backup is boring, since it may disable or tie up your computer while the backup is taking place.

So what data should I back up?

The simple answer is any file that you would miss if you did not have it. This includes documents, presentations, spreadsheets, accounting data, and other data files. Also include your Favorites folder, telephone directory, appointment calendar, and tasks. It may also include pictures, music, family video, and any other data that is significant, especially if lost.

Look at all of the programs that you use regularly. Find the data files that these programs and mark these for regular backup. Often these files are not behind your MY Documents folder.

For example, if you use Quicken or QuickBooks, the important data files are saved in a folder behind the Quicken or QuickBooks program. In Microsoft Windows XP, these files could be under Documents and Settings/user/Application Data. In addition, the Application Data file may also contain important information that aids in your ability to use many of your favorite programs. If you do not know how to get to these files, consult an expert to help you determine what files to choose for regular backup.

How often should I back up?

Think of this question another way – if my hard disk crashed, or I dropped my laptop, or it got stolen at the airport, how much time will it take me to re-create the active data that I just lost? What would it cost you to lose a day’s worth of data and to recreate it? How much time would it take to reconfigure your computer with the tools, configurations, short cuts, and links that you have spent years accumulating? Remember the Computer World data, the average cost per laptop for lost data is $800.00 per year. What is your billing rate? How much will it cost you to start over?

Some of us use our computers the entire day. That means that if we back up daily, then the most time that we would spend redoing the work would be less than a day’s worth of time. If you are an occasional user, then you may need to backup less frequently.

Once you have made your list, then you are ready to back up. Here is my partial list of backup files that would cause me great pain if they were not backed up:

Outlook.pst – Emails, Tasks, Contacts, and Calendar

My Documents – Word documents, Excel spreadsheets, PowerPoint presentations, Quickbooks

Favorites (these are my Internet bookmarks that I have spent years building up)

Documents and Settings/user/application data (be selective here. You will most likely not need temporary files generated from web pages).

Goldmine data files and email

attachments

What’s the Solution?

The solution is to find a backup solution that is invisible to the user and does not create a “backup event” that must be scheduled from a person’s busy day. So hold this thought for the moment.

Once you have determined which files to back up regularly, you must decide where to store this data. In the early days of computing, we used to back up to floppy disks. Now, our files are huge and often too large for floppy disks. CD ROMs are popular for backup and will now hold over 750 MB of data. DVDs can also be used for backup and how many times more data than CD ROMS.

At the beginning of this article, I said that backup is inconvenient and that is why most people don’t do it. Therefore lets find solutions that are convenient. Not just convenient, but invisible like an insurance policy that just works.

If you are a lone computer user and are not on a network, the best solution is to get an external hard drive that plugs into your USB port. These data storage devices are relatively cheap for the benefit that they provide. Follow this link for examples of these products: http://www.google.com/froogle?q=USB+Hard+drive. If you are using Windows XP, then you can use the Windows Synchronize utility found in XP. To use, copy all of your data to the external drive. Then install the Windows Synchronize utility to automatically keep your files up to date when you plug the external drive into your computer. When you travel with your laptop computer, leave the USB hard drive at home. Never carry it in your computer bag. If you are backing up your desktop, take the USB hard drive with you – or at least store it at a location separate from your desktop in case of fire or other disaster.

If you are on a network, such as a home or business network, set aside some backup space on a hard drive on the network or on another computer. Hard drives are cheap. If you need more space than is available, buy another hard drive and install it on another computer. Use Windows Synchronize utility to keep the data synced.

If you use a laptop or work in different locations, a new product called BeInSync automatically makes the connection over the Internet between your laptop and a designated target computer for syncing files. BeInSync updates, automatically and invisibly any and all files designated for syncing. It even allows you to sync files with friends and business associates. Since it works in the background, it does not require a backup event and impose itself on the user’s busy day.

Follow this link to get more information on BeInSync: http://www.beinsync.com/?rfrid=BIS-P-1038. One important note about BeInSync is that it will sync everything in the My Document folder. Move My Music, My Videos, and other large folders out of the My Documents before enabling BeInSync.

What’s the bottom line on backup?

The bottom line on backup is that it is absolutely necessary for everyone that has something to lose if his or her computer was lost, stolen, or simply failed from regular use. There is a wide variety of solutions in the marketplace to keep your data backed up. Spend the time to explore and implement your back up solution. If you are not technical, hire an expert to create a solution that works for you. It will be some of the best money that you will spend.

Trying to figure out a stream in banning one email client or another is no easy job. As soon as somebody rises up saying Outlook is bad, somebody else comes saying it’s good and the other one is bad. And the story goes on and on.

On one hand, email clients like Outlook Express and (even more) MS Outlook do a really good job when it comes to user friendliness. What email client allows you to use more options on the agenda, bell ringers, flag wavers and contact managing tips than MS Outlook?

The ease of use perfectly molds on human indolence. That means I would never question about Microsoft Outlook being or not a good email client if it comes together with my Office pack that comes together with Windows that comes together with my computer.

Here is another red flag: MS Outlook is not free as long as I’m paying for my Windows license. This should count when choosing an email client.

Moreover, everything is so easy to install with those cute wizards, and installing sessions are ready within minutes.

Until… well, until I spend enough time online, using email, starting to receive viruses, worms and other creatures that do bad things to computers. If you ever had to do one of the following when using Outlook or Outlook Express:

try very hard not to click on a message subject that looked suspicious; anyway, not without using a small trick (that used to work for me): pressing Shift, selecting the suspicious messages and then hitting

Del,

try hard not to select some very good and very important messages together with the suspicious ones,

accept phone calls from extremely upset clients accusing you of infecting their computers with God knows what worm (personally got in trouble with BugBear),

working on an extremely low system because an efficient AV is doing its job scanning, updating, warning, locking etc.

delete all your Outlook contacts in order not to become infectious for friends and clients in case your computer somehow got infected,

…then you know what it’s like. Both Outlook and Outlook Express, while different applications, with no related history, have security as their weakest link. And that’s why some people switch to other email clients that are said to be more secure.

It is true that most worms are today Outlook dedicated because Outlook has both more users and more security holes. It is also true that Microsoft Chairman Bill Gates set security as a top priority back on 17th January 2002 (it’s been almost two years by now). While I don’t mean to ban Outlook or Outlook Express, I’d like to choose the best for me, and the best doesn’t seem one of the fore mentioned, at the moment.

If you are a database designer or developer, you may be racking your brains trying to find the most suitable software to help you with your database design-related tasks. There are pretty many tools for designing and modeling database structures available in the market. However, the question is what features and facilities they offer, what the quality is, how easy-to-use (or complicated…) their interface is, how many databases they support and finally what the price and maintenance costs are.

Putting myself in your shoes, I can imagine how tired you can be of evaluating tens of database modeling tools that don’t live up to your expectations and if do, their price is not acceptable. (Believe me, I have the same experience…) Let’s face it, considering all the aspects mentioned above, the offer suddenly narrows down especially if your budget is tight…

I don’t want to make any marketing research or analyze all database modeling tools in the market. I’ve just wanted to draw your attention to one, quite inconspicuous db modeling tool – CASE Studio 2 (CS2). As a user of this software, I’d like to share my experience on this product with you.

This tool has been designed by Charonware, s.r.o., a software company established in the Czech Republic (member of European Union), and is really worth taking up.

The main CS2 features include particularly: Entity relationship diagrams (ER diagrams), automatic generating of SQL (DDL) scripts, generating of HTML and RTF reports and reverse engineering. CS2 allows users to create ER diagrams for more than thirty databases like Oracle, MySQL, MS SQL, Advantage, Interbase, Informix, Firebird and much more. Also, you can take advantage of the

reverse engineering feature and load already existing db structure to CS2 very easily. After ER diagram is created, you are allowed to generate SQL scripts automatically.

Besides these main features, I’ve come across another great one – the possibility to customize the software as I need. Via the CS2 Templates Editor, you can modify system templates, import new templates that are available for free on Charonware’s website, or even create your own templates. CS2 also contains MS Scripting dialog for modifying the scripts.

This way you can customize generation of SQL scripts, modify design and content of HTML and RTF reports etc. This feature makes this product much more flexible and more responsive to each customer’s needs and requirements, which I really do appreciate.

Among other helpful features belong: export into XML format, support for text objects like triggers, procedures, views, sequences etc., Data Flow diagrams, Model conversion, Version Manager and more.

Information on CS2 can be found on Charonware’s website (http://www.casestudio.com). Except the free CS2 trial, there’s also a great range of online resources including support documentation, movie tutorials, add-ins, scripts etc.

My friend says: “When you feel like you’re working hard but not getting what you need, it’s pretty frustrating. I need a software that is stable, allows me to do just what I need, is easy to use and… that I can get at a good price!” – That’s it!

Taking into account the CS2 features, functionality and price (Apropos, Charonware provides free updates and free, time-unlimited technical support!), CASE Studio 2 comes out very well!

The quick answer is…yes and no.

Consider this. How many printer models do you think there are out there right now? 1000? 2000? Who knows. But one thing I do know is nobody is going to spend the time testing the wrong inks in the wrong cartridges all day long to see if it works.

All printer manufacturers do things a little different. Without getting technical, there are basically three different technologies for inkjet printers. Epson uses Piezoelectric, Canon uses Bubblejet and HP and Lexmark use thermal inkjet technology.

An ink designed for Canon, for instance, has a much lower convection rate than an ink made for HP or Lexmark. The reason is HP’s cartridge print heads fire at thousands of degrees. The ink must be made to withstand that kind of heat or your resulting output will be unpredictable.

Also there are basically two kinds of ink. Dye based and Pigmented. Pigmented ink particles are much larger than dye based particles so using a pigmented ink in a cartridge designed to use dye based ink will result in a clogged print head every time. Also, pigmented inks are waterfast on any surface. Notice I said waterfast and not waterproof. Pigmented inks can made waterproof if they are used with the proper media. The same goes with dye based inks.

Pay attention to this because it will apply to any ink on the market. Any dye based ink can be used in ANY inkjet printer. The color output may not be what you expected but it will work.

Not so with pigmented inks. Pigmented inks are used in most

black inkjet cartridges today. Epson has a version of color pigmented inks they call DuraBrite inks. They are very expensive to make and there is quite a hefty premium on the bulk inks from any manufacturer that I have contacted.

DO NOT use pigmented inks in any cartridge that was designed to use dye based ink.

Generally speaking, HP and Lexmark inks are interchangeable because their process’ are similar. Watch for color variations though.

The newer Canon cartridges, BCI-3e and BCI-6 colors are so close that most people cannot tell them apart. Ironically the cartridges are physically identical except for the BCI-3e black which is slightly larger. The BCI-3e black takes pigmented ink while the BCI-6 takes dye based. Be careful here. Some of the new Canon printers take both BCI-3e and BCI-6 black cartridges.

To wrap it up I’ll say that you can use most inks in most printers with the exceptions that I already mentioned. Color variations, if they occur, might be compensated for in the printer driver settings. Be prepared to fiddle with it. Physical damage to the printer is unlikely in any case, unless the cartridge is leaking when you put it into your printer. But you wouldn’t do that. Would you?
